- Manage all incoming calls, emails, and general correspondence in a professional and prompt manner.
- Schedule and coordinate meetings, appointments, and travel arrangements for the Managing Director.
- Prepare meeting agendas, minutes, and relevant documentation as required.
- Maintain an organized and efficient office environment, ensuring all supplies, equipment, and facilities are well managed.
- Safekeep and maintain all company and project documentation on appropriate electronic platforms for easy retrieval (e.g., SharePoint, Teams, or other document management systems).
- Ensure documents are properly filed, labelled, updated, and accessible to authorized users.
- Support in the preparation, formatting, and distribution of reports, presentations, and internal documents.
- Serve as a central point of contact for internal and external queries.
- Coordinate customer queries, requests, and complaints, ensuring timely follow-up and escalation where necessary.
- Distribute relevant information and correspondence to internal and external stakeholders as required.
- Assist in maintaining strong relationships with suppliers, partners, and clients.
- Assist with sourcing quotations from suppliers and service providers.
- Support basic procurement administration such as purchase orders, supplier documents, and follow-up on deliveries.
- Maintain an organized record of suppliers, contracts, and procurement documentation.
- Excellent verbal and written communication skills.
- Strong time-management and organizational abilities.
- High attention to detail with a proactive approach.
- Ability to handle confidential information with professionalism.
- Customer-focused attitude with strong interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and experience with digital filing systems.

Minimum: Diploma in Office Administration, Business Administration, or related field.
2-4 years relevant experience in office administration or executive support.
Experience in procurement administration will be an advantage.
